The Company:
Coastal Jazz and Blues Society (CJBS) is a charitable arts organization operating since 1986 that sponsors music education and activities; the highlight of which is an annual jazz festival in the Vancouver, British Columbia area which draws several hundred thousand fans. The festival is made possible by a collection of nearly 1,000 volunteers who need to be coordinated, organized into teams, and assigned to work crews. CBJS also promotes jazz education through programs in local schools. Their development activities include a multi-tiered membership program, donors, corporate, and media sponsors.
The Challenge:
CJBS’s goal was to use Salesforce across multiple departments to have a single view of all of their constituents and track their relationship, volunteer hours, and support for the organization. This initiative impacted the following departments:
- Development/Corporate Sponsorship
- Membership
- Volunteers (over 800 of them every year for the festival)
- Public Relations/Press
- School Programs
The Solution:
CJBS worked with Ray Simon to understand the needs of each department, and how they contributed to the organization as a whole. They discovered that data was stored in over 15 databases in addition to spreadsheets, email programs and other lists. Through ENPIO, CJBS now has a single source of information for activity, membership, and a comprehensive view of its constituents that includes:
- Using Salesforce for customization so that all of the departments could track and segment their contacts into one centralized system.
- Tailoring Salesforce security and permissions so each department could only view the information that they need.
- Collecting and importing data from the different sources.
- Providing staff training by role and by department.
