Applicant Screening and Processing
Business Need:
A recent client needed a structured qualification process using Salesforce to screen program candidates who may submit web-based applications. The goal was to use Salesforce to manage the entire applicant screening, qualification, management, and communication processes, while streamlining the candidate managers’ tasks.

Key elements of the solution involved:
- Smart Application Web Forms
To reduce administrative effort and response time, “smart” web application forms were used to automatically create candidate records in Salesforce and identify candidates based on their interests and qualifications. Then, candidates were automatically routed to the manager for their program of interest. This reduced manual oversight and enabled the candidate managers to provide faster responses to applicants. - Custom Views
Custom views were created so each candidate manager could quickly see all of their candidates. They could also sort the candidates by their stage for reporting and to help prioritize follow-up activities. - Automatic Screening Using Workflow and Automation
Candidates who reach a specific stage of the qualification process were assigned a username and credentials to logon to a private, secure web page to complete a lengthy application. This saved admin time, provided a secure location to submit information, and enabled the candidate to submit information at a more convenient for them. Returning candidates were able to re-apply for a position and retain past application information, which expedites the application. - Customer Portal
The Salesforce customer portal was used for candidates who reach a benchmark level of qualification. The portal enabled candidates to securely submit additional detailed information. Workflow notified candidate managers when a candidate had completed the requisite information.
